CITY OF RIVERSIDE CITY COUNCIL MEMORANDUM People Serving People Riverside HONORABLE MAYOR AND CITY COUNCIL DATE: September 7, 2004 ITEM NO: 31 SUBJECT: AWARD OF INFORMAL. BID NO MA1251 TO WINGATE MECHANICAL, INC. FOR THE REMOVAL AND REPLACEMENT OF THE HVAC SYSTEM ON THE BOBBY BONDS GYMNASIUM. BACKGROUND: The Heating, Ventilation and Air Conditioning (HVAC) System at the Bobby Bonds Gymnasium facility was inoperable and it had been determined that il was unfeasible to repair due to its age and Iow energy efficiency rating. Based on these factors the Building Services Division assembled a specification package that included requirements to upgrade the HVAC units to the current energy efficiency standards, and released the informal bid packages to six (6) local air conditioning and heating contractors. Wingate Mechanical, Inc. was the only contractor from the six contacted that responded. Due to the exposure of the public to the extreme temperatures within the structure, an emergency purchase order based on the Informal Bid received was issued in order to accomplish the work. The total cost for the completion of the project is twenty-nine thousand seven hundred and ninety-nine dollars ($29,799.00). We believe that this is a reasonable bid and staff recommends the awarding of the informal biid to Wingate Mechanical, Inc. FISCAL IMPACT: Funds to complete this project are available in account number 5215000-424130. ALTERNATIVES: 1. None- The work is currently being completed and Council is being asked to confirm the emergency purchase order. RECOMMENDATIONS: That the City Council: 1. Award Informal Bid No. MA1251, for the replacement of the HVAC system at Bobby Bonds Gymnasium to Wingate Mechanical Inc. in the armount of $29,799.00. 2. Authorize the preparation of the appropriate contract documents for execution by the City Manager or his designee. 31-1
